How to set up QR codes for a hotel

    1. Start with guest WiFiThe generator opens on the WiFi tab. Enter the guest network name and password.
    2. Make the other codesSwitch tabs for a WhatsApp front desk, the room-service menu link or a Google review link.
    3. Use one design for allSave your colors and logo as a style so every code in the property looks the same.
    4. Print room cards and standsUse our printable WiFi cards and table tents, then test each code in the room where it will sit.

    Guest WiFi done right

    • Put the guest network, not your staff or billing network, in the code.
    • If you change the password every season, reprint the room cards the same day; an old code simply won't connect.
    • Laptops can't scan, so print the network name and password in text under the code as well.
    • Our generator escapes special characters such as ; and : in passwords, a common reason other WiFi codes fail.

    A WhatsApp front desk

A WhatsApp QR code on the room card opens a chat with reception with a message like "Room ___: I need…". Guests can ask for extra towels or a taxi without calling, and staff get a written record. Use a WhatsApp Business number shared by the front desk team rather than a personal phone.

Point the code at a menu page on your own website or a PDF you can replace (keep the same address). Then a price or dish change doesn't need a reprint. Our restaurant menu QR code page covers menu layout and table tents in detail.

More reviews, at the right moment

The best moment to ask for a review is when the guest is happy: at checkout, or on the last morning. A small card at checkout with a Google review QR code that opens the review box directly gets more reviews than a link in an email a week later. Don't offer discounts in exchange for reviews; Google's policies forbid it.

    Payments at reception

For UPI, use our payment QR code generator and print a Scan & Pay stand. Check it every shift, laminate it, and ask staff to confirm the payment on their own phone before handing over keys, because fake payment stickers are a known scam.

    Homestays and holiday rentals

Small properties benefit most. Put a single welcome card in the room with three codes: WiFi, a WhatsApp chat with the host, and a link to a page with house rules, check-out time and local tips. Hosts typically get fewer repeated questions, and guests have everything on their phone.

    Design and print tips

    • Use one style across the property (save it in the generator's "My styles").
    • Print room cards at least 3 cm wide, and table tents at 4 to 5 cm.
    • Keep codes away from glossy lamination under strong lights; matte finishes scan better.

    Frequently asked questions

Which QR codes does a hotel need?

Most properties start with guest WiFi, a menu link, a WhatsApp front desk, a Google review link and a UPI payment code.

Is it safe to put the WiFi password in a QR code?

It is as safe as printing the password on a card. Use a separate guest network and never your staff or billing network.

    Do the codes expire?

No. They are static codes that work for as long as the WiFi, link or number inside them stays the same.

Can I add the hotel logo?

Yes. Add it in the Logo tab; error correction is raised automatically so the code still scans.

How do I make many room cards at once?

Use the printable templates for WiFi cards, or the bulk generator to make one code per room from a spreadsheet.

Can guests scan without installing an app?

Yes. Every modern iPhone and Android camera reads these codes directly.
