How to make a QR code for a Google Drive file

    1. Set sharing to "Anyone with the link"In Drive, click Share, then under General access choose "Anyone with the link" and the role Viewer.
    2. Copy the linkClick Copy link. It looks like drive.google.com/file/d/…/view or drive.google.com/drive/folders/….
    3. Paste it here and style the codeAdd a frame that says what the file is: "SCAN FOR PRICE LIST" or "SCAN FOR PHOTOS".
    4. Test on a phone that is signed outScan with a phone that is not signed in to your Google account, to check that strangers can open it.

Get the sharing setting right first

The most common problem with Drive QR codes is a "You need access" page. That happens when the file is shared only with specific people. Before you print:

    1. Open the file or folder in Google Drive and click Share.
    2. Under General access, change "Restricted" to "Anyone with the link".
    3. Set the role to Viewer (or Commenter), never Editor for a public code.
    4. Click Copy link and paste it into the generator above.

Remember: anyone who scans the code can open the file, and can share the link further. Don't use this for personal or confidential documents.

    What you can share

ContentLink looks likeOpens on a phone as
PDF, image or video filedrive.google.com/file/d/…/viewA preview in the browser or the Drive app
Folder (photo album, documents)drive.google.com/drive/folders/…A file list to browse and download
Google Docdocs.google.com/document/d/…The document, readable on mobile
Google Sheetdocs.google.com/spreadsheets/d/…The spreadsheet (price lists, timetables)
    Google Slidesdocs.google.com/presentation/d/…The presentation

For a form, use our dedicated Google Form QR code page.

Update the file without changing the code

A static QR code holds the link permanently, so keep the link the same:

    • Google Docs, Sheets and Slides: just edit them. The link never changes.
    • PDFs and other uploaded files: don't delete and re-upload, which creates a new link. Instead, right-click the file in Drive, choose File information → Manage versions and upload the new version. The link, and your printed code, stay the same.
    • Folders: add or remove files in the folder. The folder link stays the same.

This makes a Drive file a free way to have a "changeable" QR code: a restaurant updates its menu PDF, a shop its price list, a school its timetable, and nobody reprints anything.

    Make it mobile-friendly

    • Keep PDFs small. A 30 MB scan of a brochure takes a long time on mobile data. Export at screen resolution for sharing.
    • Use a Doc instead of a PDF for text people will read on a phone; Docs reflow to fit the screen.
    • Name files clearly. The file name appears at the top of the preview.

    Ideas that work

    • Shops and wholesalers: a price list Sheet, updated weekly.
    • Photographers and events: a folder of event photos on the venue's exit board or the thank-you card.
    • Teachers: worksheets and answer keys (see QR codes for schools).
    • Real estate: floor plans and brochures for each project.
    • Manuals: a product manual PDF on the box, updated with each revision.

    Limits to know

Google Drive is designed for sharing, not for very high traffic. Files that suddenly get many views or downloads in a short time can be temporarily limited by Google, and very large files show a "can't scan for viruses" notice before download. For a code on thousands of products or a national ad campaign, host the file on your own website instead and use a URL QR code.

    Frequently asked questions

Why does my Drive QR code say "You need access"?

The file is still restricted. In Share → General access, choose "Anyone with the link" and the Viewer role.

Can I replace the file without changing the QR code?

Yes. For uploaded files use File information → Manage versions → Upload new version. Docs, Sheets and Slides keep their link when edited.

Can I make a QR code for a whole folder?

Yes. Share the folder with "Anyone with the link" and paste the folder link.

Do people need a Google account to open it?

No, not when the file is shared with anyone with the link.

    Will the code expire?

The code itself never expires. It keeps working as long as the file exists and the sharing setting stays the same.

Is it safe to share files this way?

Only share files meant for the public, as Viewer. Anyone with the code can open and forward the link.
